Terms & Conditions
By using our services, you accept these terms and conditions in full. If you disagree with any part of these terms and conditions, you must not use our services.
Definitions
“Triptallia LLC”, “we”, “us”, or “our” refers to the travel agency.
“Client”, “you”, or “your” refers to the individual, company, or organization using our services.
Services Provided
Triptallia LLC specializes in providing business travel solutions, including but not limited to flight bookings, accommodation arrangements, transportation, and related services.
Confirmation of Bookings
The customer will receive a booking confirmation for a prepaid travel service by email once a deposit has been paid. In addition to that, a voucher per each reservation will be provided once the full payment has been settled.
The customer must print and present the voucher at the hotel reception upon arrival.
In the event where the hotel staff cannot find the reservation described on the voucher, there is a Triptallia LLC emergency telephone line that can be dialed for immediate check-in assistance.
Upon receipt of your voucher, please note that while your booking has been confirmed and is guaranteed, the rooming list with your name may not be adjusted in the hotel’s reservation system until closer to arrival.
It is the customer’s responsibility to make sure that the information pertaining to the period of stay, type of rooms booked, and passport names of the guests indicated on the voucher is correct.
The service booked will only be provided in accordance with the details in the confirmation/voucher.
Any requests for changes to an already confirmed booking should be submitted in writing by the customer via email to your reservations email address.
Guest name changes made after the end of the free cancellation period may incur an additional fee per change, depending on the policy of the booked hotel.
Triptallia LLC will not take any responsibility for any problems originating from the customer making any changes to an already confirmed booking directly with the hotel instead of sending them to Triptallia LLC, as instructed above.
Cancellations and Amendments
Changes
In order to change your room accommodation reservations or your room bookings, contact Triptallia LLC directly.
While there is no guarantee that Triptallia LLC will be able to accommodate the requested changes, we will make every effort to adjust, change, and seek our customer’s utmost satisfaction.
Triptallia LLC is able to offer competitive pricing due to its ability to reserve, hold, and pre-pay for rooms for its clients at the time of reservation.
Changes made after final accommodation is agreed upon, but prior to 14 days before check-in, will not be assessed a fee.
Any reductions due to changes or cancellations will be kept as future credit to be used within 365 days.
Moreover, full cancellation is subject to a 25% cancellation fee.
Cancellation Deadline
Unless otherwise specified, the cancellation deadline is the end of business (17:00 Central European Time) on the date mentioned in the booking conditions you receive for each confirmed travel reservation.
A minimum night stay requirement (if applicable) is part of the hotel booking conditions and will be mentioned in the reservation-specific terms.
The customer is required to pay and is not entitled to a refund for any unused nights which are covered by the minimum night stay requirement.
Changes / Amendments
Unless otherwise specified, the customer may change the number of booked rooms, the type of booked rooms, and the arrival/departure dates of the booked rooms in accordance with the reservation-specific booking conditions agreed before payment.
Any request for changes must be communicated only to Triptallia LLC and not to the hotel directly.
Any requests for changes after the final amendments deadline has passed cannot be guaranteed and may be subject to full cancellation charges.
Triptallia LLC will aim to help the customer and provide assistance in processing any requests for changes to an already confirmed booking even after the deadline for these changes has passed.
We cannot guarantee that the hotel or supplier will accept and process these changes and we take no responsibility for any losses or claims resulting from a request for change received after the amendment deadline not being honored by the hotel or supplier.
Relocation
In the unlikely event of a confirmed hotel booking becoming unavailable due to reasons such as technical mistakes, overbooking, or hotel closure for renovation, Triptallia LLC will endeavor to either:
- Provide alternative accommodation of a similar standard and location;
- Provide accommodation of a similar standard in a different location; or
- Provide a full refund of the prepaid booking amount.
Triptallia LLC accepts no liability for losses or costs that might occur as a result of a confirmed reservation becoming unavailable due to a supplier or hotel error.
Payment
Triptallia LLC offers two methods of payment: credit card or bank transfer.
The total amount of a confirmed booking must be prepaid at least 14 days prior to the travel date.
In the case of payment by credit card, we may charge a service fee of 2.5% of the total booking price. Customers will be informed in advance before invoicing.
In the case of payment by bank transfer, Triptallia LLC must receive the exact amount stated on the invoice. Any bank charges or transfer fees are the responsibility of the sender.
Customers may be required to present a valid credit/debit card to hotel staff upon arrival to secure incidental charges such as meals, parking, minibar, or room service.
If Triptallia LLC is charged by the hotel or supplier for costs incurred by the customer outside the prepaid booking, we reserve the right to invoice the customer accordingly.
Refunds
Service refund policies will be provided with each reservation.
Any refund claims will be reviewed within 3 working days from receipt.
Approved refunds will be processed within 10 working days after the check-out date.
If a customer is unable to use part of their booking because of an early check-out, no refund is guaranteed.
However, Triptallia LLC may attempt to negotiate a refund with the supplier or hotel without guaranteeing approval.
Standard of Accommodation
Accommodation star ratings may vary from country to country and should not be relied upon solely to indicate quality.
Room types and hotel standards may also vary internationally.
It is the customer’s responsibility to independently verify that accommodation and services meet their expectations.
Triptallia LLC is not responsible for the quality of services provided by hotels.
Complaints
Any complaint regarding hotel stay, room conditions, or services must be communicated directly to the hotel during the stay.
The hotel management must be given an opportunity to rectify the issue.
If the hotel fails to resolve the issue, customers should contact Triptallia LLC in writing.
While we will endeavor to seek clarification and assistance from the hotel, we do not take responsibility for hotel standards, staff behavior, or hotel management.
Force Majeure
Triptallia LLC shall not be held liable and will make no refund in the event of delays, rerouting, or additional expenses caused directly or indirectly by acts of government, strikes, airline disruptions, severe weather, pandemics, or any force majeure circumstances beyond our control.
All existing reservations remain subject to both general and reservation-specific booking conditions provided at the time of booking.
Multiple bookings, group bookings, bookings with various arrival/departure dates
The system allows multiple reservations of rooms booked under different payment and cancellation policies which are part of the same reservation. The users of the online booking tool are not allowed to make group bookings. Group bookings are reservations of more than 9 rooms during a certain trade fair period. If you require more than 9 rooms please use the booking request form to submit your requirements and we will contact you with a custom proposal. We reserve the right to cancel any reservations for more than 9 rooms made by the same exhibitor/visitor company via the online booking tool. If you need to book multiple rooms (not more than 9) for different dates of stay we advise you to send us a booking request instead of using the online booking system – we cannot guarantee that availability and prices would be valid for different booking periods during the same event. For best overview and accurate quotation please contact us with more complex booking requests.
Names of travelers
To create a reservation and issue a valid hotel accommodation voucher we need the full names (first and last names according to traveler’s passport) of all travelers. Hotel vouchers can only be issued directly under the travelers’ names; vouchers cannot be issued under a company name, or a group name. If you need to change a guest name you must do so by contacting Triptallia LLC directly. Do not contact the hotel with such requests as this may lead to technical problems when we finalize your booking and subsequently to a cancellation of your booking against 100% penalty. Any guest name changes will only be considered valid if they are confirmed by Triptallia LLC.
Online reservation of accommodation travel services
All prices in our live availability are displayed per room per night and are including VAT in Europe, UK as well as the UAE, however, all rates pertaining to hotels in the USA and Canada are excluding taxes, unless stated otherwise. Additional local/city/tourist tax may be charged by the property on arrival. Some of the prices displayed are dynamic – depending on remaining availability during the event period, current demand for rooms and other factors. The same may lead to a change in the rate during the booking process. In such case you will be notified prior to completing the reservation and the booking will not be finalized unless you agree to the displayed price change. Prices are subject to change at any time during the booking process. Triptallia LLC reserves the right to correct any obvious pricing errors on our website and/or on confirmed reservations made under an incorrect price. In such event, if possible, we will offer you the opportunity to keep your reservation at the correct price, or we will cancel the booking without penalty and refund any prepaid deposits back to you. Triptallia LLC bears no obligation to provide travel services at incorrect prices, even after a confirmation for a reservation has been generated. Special offers/discounted rates and promotions may carry specific restrictions and conditions (e.g. non-cancellable, non-amendable and non-refundable). We recommend that you read the relevant reservation conditions in detail prior to finalizing and paying your reservation. All special offers/discounted rates and promotions are marked as such.
Payment, modification, cancellation, no-show
When utilizing Triptallia LLC’s self-service tool to make a hotel reservation, you are acknowledging and consenting to the applicable payment, modification, cancellation, and no-show policies. These policies are presented to you during the booking process on our website and are reiterated in the reservation confirmation email. It’s important to be aware that specific rates or special offers may not permit free cancellation, refund, or modification. We advise you to thoroughly review the reservation conditions before confirming your booking.
Modifications and cancellations
If you wish to review, modify, or cancel your reservation, please refer to the confirmation email and follow the instructions. Please note that you may be charged for any cancellations and reductions of nights, or rooms in accordance with the reservation conditions to which you have agreed when creating the booking. Modifications in the arrival date/s – any such changes must be processed by Triptallia LLC and reconfirmed by the hotel.
Credit card payments
We utilize a third-party service provider to process credit card payments, employing the highest standards to safeguard your information. Your credit card details are not stored or processed on our servers. Transactions are conducted in USD, Euros, and GBP only at present. We have no control over transaction fees imposed by your card issuer. Additionally, we are not responsible for any exchange rates applied by your card issuer’s bank if your card currency differs from the mentioned currencies. Different transaction amounts may appear on your card statement in such cases. For inquiries regarding exchange rates applied to your card transaction, kindly contact your bank or card issuer.
No shows and early check outs
During trade fair periods, non-arrivals and early check-outs are non-refundable. If you fail to arrive without prior notification to Triptallia LLC, the hotel reserves the right to cancel your entire booking with a 100% penalty. Check-in and check-out times vary depending on the hotel’s regulations. Typically, check-in begins at 3:00 pm on the day of arrival, and check-out is before 12:00 noon on the day of departure. If you anticipate a late arrival (after 20:00 hours), please inform Triptallia LLC. Note that some hotels do not have a 24-hour reception service. Triptallia LLC shall not be held liable for any consequences resulting from delayed arrival or any cancellation or no-show fees charged by the hotel. Early check-in and late check-out are subject to hotel policies and availability and may incur additional charges if permitted.
Liability
The hotels, suppliers, transportation providers, and service providers are independent entities and not employees of Triptallia LLC. Triptallia LLC bears no responsibility for their actions, errors, omissions, opinions, breaches, or negligence.
Links to third parties
This website might feature links to third-party websites. Triptallia LLC does not oversee these websites and holds no responsibility for their content or your utilization of them.
Changes to Terms
Triptallia LLC reserves the right to amend these terms and conditions at any time. Updated terms will be posted on our website; continued use of our services constitutes acceptance of the updated terms.
